Terms and Conditions

These Terms and Conditions apply to enquiries, quotations, bookings and travel services arranged by Park2Afrika. Please read them before confirming a safari, Kilimanjaro climb, Zanzibar holiday or day trip.

1. Introduction

“Park2Afrika”, “we”, “us” and “our” refer to Park2Afrika, a Tanzania-based tour operator. “Traveller”, “you” and “your” refer to the person making a booking and every person travelling under that booking.

These Terms and Conditions form part of the agreement between Park2Afrika and the traveller. Your confirmed itinerary, quotation, invoice, booking confirmation and any written special conditions also form part of that agreement.

Where a quotation or booking confirmation contains a specific term that differs from a general term on this page, the specific written term in the confirmed booking documentation will apply to that trip.

2. Booking a Trip

A website enquiry, draft itinerary or quotation is not a confirmed reservation. A booking becomes confirmed only after:

  • We receive the required deposit or full payment stated in the invoice.
  • We issue a written booking confirmation.
  • You provide the information reasonably required to arrange the services.

Availability is subject to confirmation by accommodation providers, park authorities, airlines, transport providers and other suppliers. Until confirmation is issued, quoted services may change or become unavailable.

By paying a deposit or confirming a booking electronically, you confirm that you have read and accepted these Terms and Conditions and that you have authority to accept them for every traveller named in the booking.

3. Prices and Payments

Unless stated otherwise, prices are quoted in United States dollars per person and are based on the number of travellers, room-sharing arrangement, travel dates, services and itinerary shown in the quotation.

  • Deposit and balance-payment deadlines will be stated in your invoice or booking confirmation.
  • Payment is considered received only when cleared funds reach the account specified by Park2Afrika.
  • Bank, card, mobile-money, transfer, currency-conversion or intermediary charges are the traveller’s responsibility unless stated otherwise.
  • Failure to pay by the stated deadline may result in cancellation and applicable cancellation charges.

Quotations may be revised before confirmation if availability, exchange rates, government taxes, park fees, permit charges, supplier prices or the requested itinerary changes.

After confirmation, we may pass on a new or increased government tax, statutory fee, conservation charge or other mandatory cost that was not reasonably avoidable at the time of booking. We will explain any adjustment in writing.

Never send payment to an account that differs from the official payment instructions issued by Park2Afrika without first verifying the change through our known email address or telephone number.

4. Cancellation by the Traveller

A cancellation must be submitted in writing by the lead traveller or authorised booking contact. The cancellation date is the date on which Park2Afrika receives the written notice.

Cancellation charges will be those stated in the quotation, invoice or booking confirmation. They may increase as the departure date approaches because accommodation, permits, flights, park services and other supplier payments may be non-refundable or subject to their own cancellation rules.

  • Deposits may be non-refundable once suppliers have been paid or reservations secured.
  • Non-refundable permits, tickets, flights and supplier charges remain payable.
  • No refund is due for services voluntarily missed, unused or abandoned after the trip begins.
  • Refunds approved by Park2Afrika may be reduced by unrecoverable supplier, bank and transfer charges.

Travellers should obtain comprehensive travel insurance that includes trip cancellation and interruption cover.

5. Changes Requested by the Traveller

We will try to accommodate requested changes, but changes are not guaranteed. Any amendment is subject to availability, supplier approval, operational feasibility and payment of additional costs.

A change of travel date, destination, route, accommodation, group size, room arrangement or named traveller may be treated as a cancellation and new booking where suppliers do not permit an amendment.

Where the number of travellers decreases, the per-person price may increase because fixed transport, guide and operational costs are shared among fewer people.

6. Changes or Cancellation by Park2Afrika

Travel in Tanzania may require changes because of weather, road conditions, park rules, wildlife movement, accommodation availability, flight schedules, safety concerns or circumstances beyond our control.

We may alter the route, timing, accommodation, transport, guide, activity or service where reasonably necessary. When possible, we will provide a suitable alternative of a similar standard and inform you promptly.

If we cancel a confirmed trip for reasons within our reasonable control, we may offer an alternative trip, travel credit or refund of recoverable amounts paid for the cancelled services. The appropriate remedy will depend on the circumstances and any non-refundable supplier costs.

7. Force Majeure

Park2Afrika is not responsible for failure, delay or changes caused by events beyond our reasonable control. These may include severe weather, flood, fire, disease outbreak, epidemic, pandemic, natural disaster, war, civil disturbance, terrorism, government action, border closure, strike, transport disruption, park closure or failure of public utilities.

In such circumstances, refunds are limited to amounts actually recovered from suppliers after deducting reasonable costs already incurred. We may instead offer postponement, replacement services or credit where practical.

8. Passports, Visas and Travel Documents

Each traveller is responsible for obtaining and carrying a valid passport, visa, permit, vaccination document, insurance certificate and any other document required for entry, transit or participation in the trip.

Entry and visa requirements can change. Information provided by Park2Afrika is general assistance only and should be verified with the relevant embassy, immigration authority, airline or official government source.

Park2Afrika is not responsible for loss caused by a traveller being refused entry, boarding, a permit or participation because of missing, invalid or insufficient documents.

9. Health, Fitness and Travel Insurance

Travellers are responsible for assessing whether they are medically and physically fit for the selected itinerary. You should obtain professional medical advice regarding vaccinations, medication, altitude, tropical conditions and personal health risks.

You must disclose any condition, allergy, disability, dietary requirement or other circumstance that may affect your safety or the operation of the trip. We will make reasonable efforts to assist but cannot guarantee that every destination or service can meet all needs.

Comprehensive travel insurance is strongly required for all travellers and should cover medical treatment, emergency evacuation, repatriation, baggage, cancellation, interruption and the activities included in the itinerary.

Emergency evacuation and medical treatment in remote areas can be expensive. A traveller without adequate insurance remains personally responsible for all related costs.

10. Wildlife, Nature and Travel Risks

Safaris and nature-based journeys involve inherent risks, including wildlife, uneven terrain, remote locations, changing weather, insects, road conditions, water activities and limited access to immediate medical care.

  • Wildlife sightings and natural events are never guaranteed.
  • Migration, river crossings, animal behaviour and marine encounters depend on natural conditions.
  • Travellers must follow guide, ranger, crew and park-authority instructions.
  • Travellers must not leave vehicles or designated areas without permission.
  • Travellers must not feed, touch, chase or deliberately disturb wildlife.

By booking, you acknowledge the ordinary risks associated with the chosen itinerary while retaining any rights that cannot lawfully be excluded.

11. Kilimanjaro Climbs and Adventure Activities

Mountain climbing, hiking, walking safaris, swimming, snorkelling, boating and similar activities involve additional physical and environmental risks.

Reaching the summit of Mount Kilimanjaro is not guaranteed. The lead guide may change the pace, route, schedule or require a traveller to descend where necessary for safety, health, weather or operational reasons. The guide’s safety decision is final.

No refund is due where a traveller does not complete an activity or summit because of health, fitness, weather, personal choice or a safety decision made by the guide.

12. Accommodation, Transport and Suppliers

Accommodation classifications are descriptive and may not correspond exactly with rating systems used in the traveller’s home country. Rooms, bedding, facilities, electricity, internet and water supply may vary by destination.

Safari travel may involve long drives, rough roads, dust and changing journey times. Transfer and game-drive durations are estimates and may change because of road, traffic, weather, wildlife or park conditions.

Park2Afrika may use independent accommodation, transport, airline, park, guide and activity suppliers. We select suppliers with reasonable care, but their services may also be governed by their own terms and operational rules.

13. Traveller Conduct

Travellers must behave safely and respectfully toward guides, staff, communities, other guests, property, wildlife and the environment.

Park2Afrika may refuse participation or remove a traveller from a trip where their conduct is unlawful, abusive, discriminatory, threatening, unsafe, excessively disruptive or likely to endanger people, wildlife, property or the operation of the journey.

A traveller removed for misconduct is responsible for resulting transport, accommodation, damage and other costs and is not entitled to a refund for unused services.

14. Children and Group Bookings

A person making a booking for a group confirms that they are authorised to provide information and accept these Terms and Conditions for all travellers in the booking.

A parent, legal guardian or authorised adult must book for travellers under 18 years of age. Children must be supervised and may be subject to minimum-age, height, fitness or safety restrictions imposed by parks, accommodation providers or activity operators.

15. Responsibility and Limitation of Liability

Park2Afrika will use reasonable care in arranging the services shown in the confirmed itinerary. To the extent permitted by applicable law, we are not liable for loss arising from:

  • The traveller’s acts, omissions, negligence or failure to follow instructions.
  • Events beyond our reasonable control.
  • Wildlife behaviour, weather, road conditions or other natural circumstances.
  • Loss, delay or damage caused by an independent supplier where Park2Afrika exercised reasonable care in selecting that supplier.
  • Indirect, consequential or purely economic loss not reasonably foreseeable when the booking was made.

Nothing in these Terms excludes or limits liability that cannot legally be excluded, including liability arising from fraud, wilful misconduct or any mandatory right available under applicable law.

Where liability may lawfully be limited, Park2Afrika’s total liability will not exceed the amount paid to Park2Afrika for the affected service, excluding amounts paid directly to third parties.

16. Problems and Complaints

Report a problem immediately to the guide, trip representative or Park2Afrika office so that we have a reasonable opportunity to correct it while the trip is in progress.

A formal complaint should be submitted in writing as soon as reasonably possible after the trip and should include the booking reference, relevant dates, a clear description and supporting documents or photographs where applicable.

Delayed reporting may reduce our ability to investigate the issue or obtain information and remedies from the relevant supplier.

17. Website Content and Intellectual Property

Website itineraries, prices, travel times, images and descriptions are provided for general information and may change. A final quotation and confirmed itinerary determine the services included in a specific booking.

Unless otherwise stated, the Park2Afrika name, logo, website design, written content and original materials are owned by or licensed to Park2Afrika. They may not be copied, republished, sold or commercially used without prior written permission.

External links are provided for convenience. Park2Afrika does not control or endorse all content, availability or security practices on third-party websites.

18. Privacy and Personal Information

We collect and use personal information to respond to enquiries, arrange bookings, provide travel services, meet legal obligations and support travellers. Further details are provided in our Privacy Policy.

By providing information about another traveller, you confirm that you are authorised to provide it for the purpose of arranging the trip.

19. Electronic Communications, Governing Law and Disputes

Quotations, confirmations, invoices, notices and acceptance may be communicated electronically. You are responsible for providing accurate contact details and checking messages sent to those details.

These Terms and Conditions and each booking are governed by the laws of the United Republic of Tanzania, subject to any mandatory legal protections that cannot be excluded.

The parties should first attempt to resolve a dispute through good-faith written communication. If no resolution is reached, the dispute may be submitted to a court of competent jurisdiction in Tanzania.

If any provision is held invalid or unenforceable, the remaining provisions continue in effect. A failure to enforce a provision immediately does not amount to a waiver of that provision.
